Car Delivery Inspection Checklist: What to Check When Your Vehicle Arrives
By Genius Auto Trans · · 5 minute read
At a glance: Bring your pickup records, inspect the accessible areas after unloading, photograph any differences, review the condition document and keep a copy. Report unresolved concerns through the agreed process.

Prepare the receiving person before delivery
The best delivery inspection starts before the truck arrives. Keep the pickup condition report, earlier photos, shipment reference and coordinator's contact information together. Confirm who will receive the vehicle and whether the transport order permits that person to handle the handoff.
If a friend or family member is receiving it, share the inspection plan and approved paperwork in advance. Give them enough information to compare the car's condition, without forwarding unrelated personal or payment information.
Confirm a suitable handoff location
A large carrier may need a different meeting point from the address on your original request. Confirm the actual location with the transport team and choose a safe, lawful place with room to unload. Do not approach the trailer or enter the unloading area until the driver indicates it is safe.
Plan enough time to inspect the vehicle without rushing to another appointment. If lighting, rain, snow or road dirt limits what you can see, record those conditions and contact the coordinator about how to document the inspection limitations.
Compare the vehicle with the pickup record
Once the vehicle is safely unloaded, confirm you are inspecting the correct car and walk around it systematically. Start at one corner and work around the exterior so you do not skip an area. Compare visible marks with the pickup report and your earlier photographs.
Look at accessible body panels, glass, mirrors, wheels and bumpers. Check that the keys and any separately documented items are present. Do not climb onto equipment, crawl under an unsupported vehicle or attempt a mechanical inspection at the roadside. This is a practical handoff check, not a substitute for a technician's assessment.
Take clear photographs of anything that needs attention
If you see a mark that was not on the pickup record, take both a wider photo showing its location and a closer photo showing the detail. Keep original files. Photograph the relevant area from more than one angle when reflections make it difficult to see.
Describe what you observed rather than guessing how it happened. For example, note a scratch on a named panel and its approximate location. A factual record is easier for the coordinator to review than an accusation or a vague note saying the car looks different.
Review the condition paperwork before signing
Ask that observed differences and inspection limitations be accurately recorded on the delivery condition document. Read the completed document, including any electronic version, and request a copy you can retain. If you disagree with an entry or cannot complete the inspection, raise the concern with the coordinator promptly.
The condition report, photographs and written transport terms should be kept together. Do not assume that a driver's verbal assurance changes the written process. Follow the reporting instructions and time requirements in your transport agreement; this guide does not establish a universal claims deadline or promise that a particular loss is covered.
Complete the handoff and keep a follow-up record
Check that you have the agreed keys and documents before leaving. If a warning indicator, leak or other concern makes the vehicle appear unsafe to drive, arrange appropriate assistance rather than driving it simply to finish the delivery.
For an unresolved issue, send the shipment reference, a concise description, relevant photos and the pickup and delivery records through the agreed reporting channel. Keep copies of correspondence and record the next agreed action. Ask before authorizing repairs if an inspection or additional documentation may be needed.
Plan delivery when you request the shipment
Tell Genius Auto Trans who will receive the vehicle, any access limitations and how flexible the receiving schedule is. A clear plan at both ends helps avoid confusion during the handoff.

Frequently asked questions
Can someone else receive my vehicle?
Confirm the authorized receiving person and any paperwork requirements with the transport team before delivery. Make sure that person can inspect the car and retain the records.
What if delivery takes place after dark?
Tell the coordinator if visibility prevents a useful inspection. Record the lighting conditions and agree how to document limitations and report concerns.
Does signing the delivery report mean every issue is resolved?
The document should accurately record the handoff. Keep your records and follow the written agreement's reporting process for any unresolved concern. Coverage and claim outcomes depend on the applicable terms and facts.
